Preview a dataset's records

The Preview tab on a dataset's page runs the dataset against the live system and shows the records it returns. Nothing is changed or sent anywhere. Members and back-office users can both use it.

Steps

  1. Open the dataset

On the AutomatedOn site, expand Data Sources in the sidebar, expand the data source and select the dataset. Then select the Preview tab.

  2. Fill in any parameter boxes

If the dataset uses {aoParam:name} or $$name$$ tokens, a box appears for each name. Enter a value in each. If the dataset has no such tokens, the preview runs straight away.

  3. Choose how many records

    Use Records to choose 10, 25, 50, 100, 250 or 500. The default is 10.

  4. Select Refresh preview

Select Refresh preview. The records appear in a table with one column per field, named using the As names from the dataset's Select.

More detail

Reading the results

  • Showing 10 of 1,234 records means more records match than you asked to see. The total is shown when the system reports it (OData services that support counts, or REST datasets with a Total Path).
  • 3 records returned means that's everything you asked for, or everything there is.
  • {aoLastRun:...} tokens use 7 days ago on this tab, because a preview has no run history.

Messages you might see

  • Enter a value for: ..., then click Refresh preview.: fill in the named boxes.
  • No records were returned for the current filter.: the query worked but nothing matched. Check your filters and parameter values.
  • Data source query failed (...): ...: the other system rejected the request. The number is its status code and the rest is its message. A 400 usually means a filter or field name is wrong; 401 or 403 means the credentials need checking.
  • The dataset's Select field must have at least one entry before it can be previewed.: add a field to Select.
  • One or more aoParams were not provided.: a token couldn't be filled in.
  • An unexpected error occurred while running the preview. Please check the filter configuration and try again.: try again. If it persists, you may have reached the limit of 60 requests a minute; wait a minute.
