Create a process
A Process is the automation itself. Each time it runs, it fetches records from its dataset, checks every record against its rules, and then works through its steps for each record, such as sending an email or calling an API.
Before you start
Set up the pieces the process will use first: the Dataset it reads from, any Rules, and the email templates, message templates or API requests its steps will use.
Steps
-
Create the process
In the back office, go to your Processes folder and create a new Process. Give it a clear name. You can create sub-folders inside Processes to group related processes.
-
Pick the Dataset
In Dataset, pick the one dataset whose records this process works through. It can be an OData dataset or a REST dataset.
-
Add Parameters (optional)
If your dataset filters or templates use
{aoParam:Name}tokens, add a default value for each under Parameters, with a Parameter Name and Parameter Value. See Set default parameters for a process. -
Pick the Rules (optional)
In Rules, pick up to 5 rules to check each record against. All the rules you pick are checked together for every record. Rules on their own don't do anything; you act on them with outcome steps.
-
Add Steps
Under Steps, add at least one step. Steps run in the order listed, for each record. Choose from Rule Match Outcome, No Rule Match Outcome, Send Email, Send Message and Make API Request. See Choose the right step type.
-
Set the schedule
Set Schedule Period Minutes to how often the process should run again after each run, or leave it empty to run only when you start it. Optionally set a Schedule Expression to delay each record's steps, and tick Continue Schedule On Failure if failed runs should still schedule the next one. See Set how often a process runs.
-
Save, publish and test
Click Save and publish. Open the process page in AutomatedOn and use the Test tab to check which records would reach which steps. Nothing is sent during a test.
-
Start the first run
A new process doesn't start on its own. On the process page, open the Jobs tab and use Schedule a job to choose when the first run happens. After that, it repeats every Schedule Period Minutes.
What happens next
Once it has run, the process appears on the dashboard, and every run is recorded on its History tab.
